Team Roles in Reclaimr

When setting up your shop in Reclaimr, you can decide what level of access to give each team member.

Quick mental model: Viewer → Estimator → Manager → Admin → Owner. Each level gets everything the level below has, plus more. Manager, Estimator and Viewer can each be set to all locations or only specific ones; Admin and Owner always see the whole organization.

• Owner (also shown as Owner/GM) Full control of the account. Manages billing, the organization itself, the whole team, and every location. Typically the shop owner or general manager. Can do everything in the app.
• Admin Runs day-to-day operations across all locations. Can add/remove team members, set up new shop locations, change settings, and manage billing. Cannot close the account. Best for an office manager or operations lead.
• Manager Oversees the work, but doesn't manage the team or locations. Can create, edit, and delete defenses, change shop settings, manage billing, and view the team roster. You choose their locations: all of them, or only the shops they actually run – so a multi-shop group can give each shop its own manager. Good fit for a shop manager or estimating lead.
• Estimator Does the actual defense work. Can create defenses, upload files (estimates, short pay letters, OEM docs), edit defenses, and run analysis. Only sees the location(s) they're assigned to – so a multi-shop organization can keep each estimator focused on their shop. Cannot delete defenses or change settings.
• Viewer Read-only. Can browse defenses and the dashboard for the location(s) they're assigned to. Cannot create, edit, or upload anything. Useful for owners who want a leadership team member to monitor activity without touching the work, or for training new hires.

One exception: paying. Anyone on your team — including an Estimator or a Viewer — can enter a credit card and start your subscription, so your shop is never stuck waiting on one person to be at a computer. Changing the card, viewing invoices, or canceling the plan afterwards is still Manager and above.
